This Privacy Policy explains how Travic AI ("Travic AI", "we", "us", or "our") handles information when you visit our website, reach out to us, talk to a demo agent, or use our AI voice agent services (together, the "Services"). Because our work runs on phone calls, this policy pays close attention to voice and call data.

1. Who we are

Travic AI builds, integrates, and operates AI voice agents for businesses. When you deal with us directly, such as browsing this site or requesting a demo, we are the controller of your information. When we run an agent for a business customer, that customer decides how their callers' data is used and is the controller, while we act as their processor and follow their instructions. In that arrangement, the customer's own privacy policy applies alongside this one.

2. Information we collect

Information you share

  • When you contact us or request a demo: your name, business name, email address, phone number, and whatever you write in your message. If you book a demo through the scheduler embedded on our site, that booking is handled by our scheduling provider (Calendly) under its own privacy policy.
  • If you become a customer: billing and account details, with card payments handled by our payment provider (Stripe) rather than stored by us.
  • Anything else you choose to send us in the course of working together.

The website voice demo

Our site includes a free demo where you can talk or type to a sample AI agent. If you speak, speech-to-text runs in your browser using your browser's built-in speech service — your browser vendor may process that audio under its own privacy policy, but our servers never receive your audio, only the resulting text. We do not record or store demo audio. The text of your demo conversation is sent to our AI provider, Anthropic, to generate the agent's replies; it is not used to train AI models, is capped in length, and is not tied to your identity.

The "try it on your website" demo

If you paste a website address, our server fetches a small number of that site's public pages (respecting robots.txt) and sends the extracted text to Anthropic to build a short business profile — name, services, hours, and common questions — that powers your personalized demo. We store the generated profile, not the raw pages, for up to 7 days so the same site isn't re-crawled, then delete it. Please only submit websites you own or are authorized to use.

Voice and call data (agents we run for customers)

Separately from the website demo, when we operate a live agent for a business customer we may process call audio, recordings, transcripts, and the details that come with a call, such as phone numbers, timing, and duration. Callers often share personal information out loud during a conversation, and that becomes part of the call data we handle on the customer's behalf.

Information we collect automatically

  • Your IP address, which we use to apply fair-use rate limits on the free demo. These rate-limit counters are held in short-lived server memory and are not written to a database. If the anti-bot check (Cloudflare Turnstile) is shown, Cloudflare also receives your IP and browser signals to confirm you are human.
  • Basic request information your browser sends, such as browser and device type. Our website does not run analytics or track how you move around the site.

Information from others

When we run the Services for a business customer, we may receive information from that customer and the tools they connect, such as a CRM, calendar, or telephony provider, when it is needed to run the Services.

3. How we use information

  • To build, run, and maintain the Services and the voice agents we operate.
  • To answer your questions, set up demos, and support you as a customer.
  • To handle billing and send you the messages that go with it.
  • To measure, improve, secure, and fine-tune agent quality and reliability.
  • To send administrative notices and, only where you allow it, occasional updates you can opt out of at any time.
  • To meet our legal obligations and enforce our agreements.

4. AI, voice data, and model training

Calls our agents handle may be transcribed and processed by automated systems and by the trusted AI and telephony providers we rely on, so the agent can understand the caller, respond, and complete tasks like booking an appointment.

We do not sell personal information, and we do not use your call recordings or transcripts to train general-purpose AI models of our own. Any tuning we do to improve a specific customer's agent is carried out under that customer's instructions, and business customers can ask us to limit how their data is used, or to delete it, at any time. Where we work to improve our systems more broadly, we rely on de-identified or aggregated data.

5. How we share information

  • Providers and subprocessors who help us operate. For the website and demo, these are our AI provider (Anthropic), our anti-bot provider (Cloudflare, when the Turnstile check is shown), our scheduling provider (Calendly, if you book a demo), and our hosting provider. When we operate an agent for you as a customer, they also include telephony (such as Twilio or Retell) and our payment processor (Stripe). We do not use advertising or analytics networks.
  • Your own connected tools, at your direction, for example when the agent writes a booking to your calendar or a lead to your CRM.
  • Authorities or others where the law requires it, or where it is needed to protect people, rights, or the integrity of the Services.
  • A successor, if the business is ever part of a merger, acquisition, or sale of assets.
  • Anyone else you ask us to share with.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

6. Cookies

Our website sets no cookies of its own and runs no analytics. Tools we embed may set their own cookies when you use them: our anti-bot check (Cloudflare Turnstile), if it is shown, and our scheduling provider (Calendly), if you book a demo through the embedded scheduler. You can block or clear cookies in your browser at any time. If we add analytics or our own cookies in the future, we will update this policy first and, where the law requires it, ask before setting anything that is not essential.

7. Data retention

We keep information only as long as it stays useful for the purpose we collected it, and no longer than we need it to meet our legal and business obligations, resolve disputes, and enforce our agreements. Call recordings and transcripts are kept for the period we agree with the relevant customer, after which they are deleted or de-identified.

For the website specifically: demo business profiles are kept for up to 7 days (unsuccessful crawls for about an hour); demo conversation text is not stored on our servers beyond the request that generates each reply; and demo rate-limit data lives only in short-lived server memory. If you email us or request a demo, we keep those details only as long as we need them to respond and follow up.

8. Security

We use technical and organizational safeguards to protect personal information, including encryption in transit and controls over who can access it. No system is ever completely secure, so while we work hard to protect your data, we cannot promise absolute security.

9. Your rights and choices

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or limit certain uses of it. To make a request, email us at info@travicai.com and we will respond as the law requires.

European Economic Area and United Kingdom

If you are in the EEA or the UK, we handle personal data on recognized legal bases, such as performing a contract, our legitimate interests, your consent, or a legal obligation, and you can raise a concern with your local data protection authority.

California

If you are in California, you may have the right to know, delete, and correct your personal information and to opt out of its sale or sharing. We do not sell or share personal information in that sense, and we will never treat you differently for exercising your rights.

When calls are handled for a business customer, please send rights requests to that customer, and we will support them as their provider.

10. International data transfers

We may process and store information in countries other than the one you live in. When we do, and where the law requires it, we put appropriate safeguards in place, such as standard contractual clauses.

11. Children's privacy

The Services are meant for businesses, not children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us their information, contact us and we will delete it.

12. Third-party links and services

Our website and Services may link to or connect with tools we do not control. Once you are on another company's service, their own privacy policy governs how they treat your information.

13. Changes to this policy

We may update this Privacy Policy as our Services and the law evolve. When we do, we will post the new version with an updated "Last updated" date, and we will give additional notice where it matters.
